GLENDALE, ARIZONA 85302 OCTOBER 12, 2022 6:00P.M. 1. CALL TO ORDER 2. ROLL CALL Present: Gary Johnson, Chair Eva Ndavu, Board Member Diane Kocur, Board Member Haydee Kukowski, Board Member Absent: Timothy Ndavu-via Zoom, Vice Chair Lauren Snair, Teen Also Present: Michael Beck, Chief Librarian Dawn Ferro, Library Administrator Ashley Ware , Administrative Librarian Esther Peneff, Administrative Support Specialist 3. CITIZEN COMMENTS None. 4. APPROVAL OF THE MINUTES a. Library Advisory Board Minutes of September, 14, 2022. Approval of the September 14, 2022, Minutes as amended: Action Plan Goals: 1) Advocate for continued expansion of community-based and family centered programming 2) Expand+ng-outreach to assisted senior and living centers, including book clubs and book boxes. 3) Recommended -development of mini libraries in city facilities, group homes and various locations 4) Improve err existing programs. Expand and perfect virtual technology digitalization, and implementation of mobile phone app. 5) Improve awareness of library programs. Board Member Diane Kocur made the motion, Board Member Eva Ndavu made the second to approve the 2022-2023 Action Plan as amended. Motion approved 4-0. 5. NEW BUSINESS a. COLLECTION DEVELOPMENT UPDATE (INFORMATIONAL) Chief Librarian Beck introduced Collection Development Administrative Librarian, Ashley Ware. Ms. Ware was hired in February and replaced Mrs. Curley after 22 years of service. Ms. Ware stated she received her MLS and is a graduate of South Carolina. She would like to find out what are our patrons need and have the ease in finding a book at all locations. We have to make sure that the shelves are not overly packed by regularly weeding titles in less demand by the public. Ms. Ware stated that she has a great collection development team and is working with vendors, such as Brodart. We are beta testing a new program with them named BIBZ IQ. This shows rankings for each book to see if it is doing well and at which branch. Board Member Kocur asked what is the ranking based on? Ms. Ware stated that it is based on a hundred analytical data points, the author, trends, and books we currently have. Chief Librarian Beck stated that it can help tailor usage by the title and numbers of copies needed for each branch. Ms. Ware stated that between Diamond Tips (new level of ordering) and new BIBZ IQ we should narrow down exactly what we need. Ms. Ware stated that we have been working with each branch, conducting collection inventories and remove what is not well used. She also relayed her thanks to the great staff. Chair Johnson asked if they are still doing a local authors space. Ms. Ware stated that yes, we have a special area for local authors. Board Member Kocur asked if foreign language books are ranked. Ms. Ware said `yes,' if they are going through BIBZ IQ. We also have our online databases and Hoopla has streaming materials from over 120 languages offered. Chief Librarian Beck and board members thanked Ms. Ware. b. LIBRARY BOARD CHAIR RECOMMENDATION AND VICE -CHAIR ELECTION (ACTION) Chief Librarian Beck stated that it is time to nominate and recommend a new Chair and vote for Vice Chair for the Library Advisory Board's new term. The recommendation of Chair will ultimately have to be approved by the city council for final approval and would be effective February 1, 2023. The role of Vice -Chair is nominated and elected by the Board outright. Board Member Kocur asked if this is something we can postpone or does it need to be done tonight. Chief Librarian Beck stated that it must be done tonight due to the timing for the Governance Committee, Clerks', and Council schedules. Board Member Diane Kocur made a motion, Chair Gary Johnson made the second to nominate and elect Board Member Eva Ndavu as Vice Chair. Motion approved 4-0. Board Member Eva Ndavu made a motion, Chair Gary Johnson made the second to nominate and recommend Diane Kocur as Chair. Motion approved 4-0. 6. CHIEF LIBRARIAN UPDATE a. Chief Librarian Beck updated the Board of the following: • Community Assessment — Currently working on the presentation which should hopefully be before the board at the November or December meeting. • September 24 — Stand Up for Veterans — library provided an informational booth where several hundred veterans attended. • Saturday, October 22 — GAIN (Getting Arizona Involved in Neighborhoods) Event (10:00 a.m.-1 p.m.) — Heroes Regional Library — present for another informational outreach booth • Saturday, October 22 — Halloween Comic Fest (5:00-8:00 p.m.) — Velma Teague Library • Saturday, October 29 — Foothills Book Sale • November 11 (8:00 a.m.) — Veterans Day flag changing ceremony — Main Library 7. BOARD MEMBER COMMENTS AND SUGGESTIONS Board Member Kocur thanked Ashley Ware on her presentation. Chair Johnson asked if there were any more questions. No other questions. 8. NEXT MEETING The next regular meeting of the Library Advisory Board will be held on November 9, 2022 at 6:00 p.m., in the Large Meeting Room of the Main Library, located at 5959 W. Brown St., Glendale, Arizona, 85302. 9. ADJOURNMENT Board Member Haydee Kukowski, made a motion, Board Member Eva Ndavu made the second to adjourn the meeting at 7:00 p.m. The Library Advisory Board meeting minutes of October 12, 2022, were submitted and approved this 9th day of November 2022.
