I. PURPOSE
To ensure the community and news media are informed of Public Facilities, Recreation & Special
Events activities in an accurate, timely manner.
II. PROCEDURE
The Department is committed to informing the residents of Glendale and the local media of events,
activities, programs, projects, and accomplishments involving the Department in a timely, accurate
and objective manner.
Any PFRSE department employee who serves as project leader resulting in a public event,
ceremony, program, or service is responsible for conveying the information to the City’s Public
Affairs Department, at least three weeks prior to the occurrence of the event. The Public Affairs
Department will work with the department employee to craft an appropriate press release and its
dissemination. News releases are distributed about a variety of information including events,
activities, programs, and projects. Generally, news releases are distributed two weeks or more prior
to events and programs. Alterations to the timing of distribution may be altered depending on the
urgency or importance of the information.
The Director should be notified of the event by the department employee at least three weeks prior
to its occurrence.
Local news media may contact department staff regarding a story or an event. Department staff
should follow the “Communications with Media Procedures” to comply with the department and
City Manager’s policies.
Publicity about programs, events, activities, and projects is distributed to the public through many
different mediums including flyers, newsletters, direct mailings, posters, and social media. Staff
responsible for the programs or event will help determine the appropriate marketing medium,
timing, and target market. Staff is responsible for the distribution of printed publicity materi als.
