HomeMy WebLinkAboutCity Clerk - Administration and Management Records - Policy & Procedure Records (7) PUBLIC FACILITIES, RECREATION & SPECIAL EVENTS DEPARTMENT POLICY NUMBER 1.0 NEW POLICY OR PROCEDURE OR CHANGES TO EXISTING POLICY OR PROCEDURE 2/2009 8/1/2013; 2/16/2021 Section 1 - Administration Page 1 of 2 I. PURPOSE Public Facilities, Recreation & Special Events has policies and procedures for consistency on day- to-day operations. The department policies and procedures are available on the S drive in the PF_REC_SE folder under Parks_Recreation and on the City of Glendale Employee Document Portal. Providing department information in a hard copy and electronic format allows staff access to consistent information at any time. II. NEW POLICY OR PROCEDURE PROCEDURES To submit a new policy or procedure, follow these procedures: A. Go to the ‘S Drive’, locate the Parks & Recreation folder and open the “Policies and Procedures” folder. There will be a document titled New Policy or Procedure Form. This is a stand-alone document and is not embedded in a sub-folder. B. All NEW policies or procedures will be submitted as DRAFT beside the Policy Number under the department name. C. Once the document template is completed it should be copied into the sub-folder entitled Draft Policies and Procedures on the S Drive. D. The document will be submitted for review to the appropriate Manager of the work group. E. Complete recommended revisions or changes to the document located in the Draft Policies and Procedures folder on the S Drive. F. The final document is then emailed to your Manager. They will forward the document to the Department Director for final approval and signature. G. The original copy will be routed for distribution to the entire department. The final electronic document will be uploaded into the S Drive and also placed on the Glendale Employee Document Portal. H. An email will be sent to all PFRSE employees notifying them of the new policy. All department employees have the responsibility of reading and understanding the new policy. I. REVISING A CURRENT POLICY OR PROCEDURE PROCEDURES To submit a change or revision to a current policy or procedure, follow these procedures: A. Go to the ‘S Drive’, locate the Parks & Recreation folder and open the “Policies and Procedures” folder. Locate the policy or procedure that needs the revision. B. Copy that policy or procedure to your computer to make the revisions. C. Make the revisions in red text. D. In the Revised section of the policy or procedure document add the appropriate date (ex. 9/10/2020). Page 2 of 2 E. Once the document revisions are completed, it should be copied into the sub-folder entitled Draft Policies and Procedures on the S Drive. F. Submit your document for review to the Manager of your work group. G. Follow the same procedures for a New Policy or Procedure above (E-H). Authorized by: Date: February 23, 2021 James P.
