1. CALL TO ORDER
Chair Jessica Koory called the meeting to order at 9:00 a.m.

4. APPROVAL OF THE MINUTES
a. APPROVAL OF MAY 8, 2019 MINUTES
ACTION: Library Advisory Board Minutes of May 8, 2019
Board Member Collett moved, Vice Chair Johnson made the second, to approve the May
8, 2019 Library Advisory Board meeting minutes as written. Motion carried 7 — 0.

5. NEW BUSINESS
a. 2019 ANNUAL LIBRARY PATRON SURVEY FINDINGS
INFORMATION: Chief Librarian Beck will present the 2019 Annual Library Customer Survey
findings with the Library Advisory Board Members. Board Members will have the opportunity to
ask questions.
Chief Librarian Beck presented the 2019 Annual Library Customer Survey findings, which
included the following:
• Our typical Patron Visit Frequency of 2-4 visits per month, is at 43%, which is 5 points
higher than our 2018 score.
• Our Net Promoter Score, also known as our Customer Service Rating, is at 78%, which is
2 points higher than our 2018 score.
• The overall cleanliness, appearance, and safety of all our library branches scored over
90%.
Chief Librarian Beck advised the Board that if anyone has any questions to please feel free to
ask.
Chair Koory asked about the mess that the peacocks make outside of the Main Library and if
there was a possibility of getting it cleaned up more often. Chief Librarian Beck explained that
currently there is a contract in place with a vendor that comes to clean every 3-4 weeks. Chief
Librarian Beck informed all Board Members that he is looking into options for the cleaning to be
done in-house so that it may be done more frequently.
Chair Koory also commented that the pigeons at the Velma Teague location are leaving a mess
near the book drop area. Chief Librarian Beck explained that when it comes to the Velma Teague
branch, he must work with the Parks and Recreation Department due to the library being on
Murphy Park grounds.
Chief Librarian Beck updated the Board on the current opportunities that are to market specific
services or changing material preferences, such as:
• Promote Heroes Regional Park Library
• Outreach to neighboring Schools/Districts
. Databases and E -books
• Meeting Room Rentals
Chief Librarian Beck presented current Library statistical information, which included the
following:
• Library visits had a slight increase overall with the new branch and patrons are getting
used to increased hours from last year, that we are seeing a difference.
• Physical circulation had a slight decrease while electronic circulation had a slight increase.
• Our electronic circulation accounts for 13% of our overall circulation, which is higher than
the average library system whose electronic circulation is about 8%-10%.
• Program attendance went up due to LibCon West and Summer Reading participants.
Chief Librarian Beck mentioned items that are currently in progress, such as:
• New Teen `Level Up' LSTA Grant
• Heroes Regional Park Library Donation Accounts and Brick Paver Engraving Program.
Chief Librarian Beck mentioned items that are on the horizon, such as:
• Library Card Sign-up Month
• Forensics Day
• LibCon
Board Member Aborne asked if LibCon will be held on the same day as the parade this year.
Chief Librarian Beck replied that the LibCon event would not be held on the same day as the
parade but instead will take place at Velma Teague Library on December 7, 2019.
Chair Koory suggested notifying the merchant's group about the LibCon event so that they may
be prepared the day of the event. Chief Librarian Beck replied that they are currently working on
finalizing paperwork and once it is complete, they will be sure to notify all the merchants in the
area.
Board Member Ndavu asked if there would be any road closures due to the LibCon event.
Chief Librarian Beck replied that he does not envision the need to close any streets.
Chair Koory thanked Chief Librarian Beck for his presentation.
b. LIBRARY ADVISORY BOARD 2019-2020 ACTION PLAN
ACTION: Chief Librarian Beck will facilitate a discussion with the Library Board about its
direction, goals and action plan for the upcoming FY 2019-2020 year.
Chief Librarian Beck read to the Board the 2018-2019 Action Plan and informed them that he
would be happy to facilitate a discussion or answer any questions regarding the new 2019-2020
direction, goals or Action Plan.
After further discussion, the Advisory Board agreed to modify the 2018-2019 Action Plan to the
following for the year 2019-2020;
1. Continue to promote awareness in the community of library services & program in
coordination with the library marketing staff.
2. Promote awareness in the community of the Heroes Regional Park Branch Library.
3. Continue to support and promote participation in the IDEA Center.
4. Advocate for an increase of operating hours at all library branches.
5. Increase avenues of communication between the advisory board and the City Council.
Board member Kocur asked if anything has been done to bring other business into the IDEA
Center. Chief Librarian Beck replied that promoting the IDEA Center is going well and that they
are always looking to promote the programing in the center. Chief Librarian Beck also mentioned
that in the past, they have partnered with Goodwill in hosting job fairs as well as ASU for their
Rapid Startup School Program.
Board Member Johnson added that he has been networking with business leaders in the west
valley to inform them of the facility that we have available that they could utilize.
Board Member Kocur asked if the IDEA Center has ever been advertised at ASU West
considering that they do not have such a thing at the university. Chief Librarian Beck replied that
he would follow up with the College, Career and Business Librarian who is responsible for the
contacts.
Board review, discussion, and vote were held.

Library Advisory Board 2019-2020 Action Plan. Motion carried 7 — 0.

C. 2020 NATIONAL LIBRARY WEEK PROCLAMATION PREPARATION
ACTION: Chief librarian Beck will present a draft 2020 National Library Week Proclamation for
board members to review, edit and vote.
Chief Librarian Beck presented a draft of the National Library Week April 19-25, 2020
Proclamation. Chief Librarian Beck informed the Board that ultimately The Mayor's Office
determines the final draft, but all are welcome to make any recommendations and changes in
which Chief Librarian Beck will submit to the Mayor's Office.
Vice Chair Johnson moved, Board Member Collett made the second, to approve the 2020
National Library Week Proclamation with the following changes:
Paragraph 3, add "The Glendale Public Libraries serve" and delete "and for future generations."
Paragraph 7, recommend the last sentence to read "I encourage all residents to visit one of our
library branches this week, including the new Heroes branch, located within the Heroes Regional
Park, and to join the nearly 1,100 patrons each month that sign up for a free new library card."

d. BOARD APPRECIATION LETTER FOR RETIREES
ACTION: Board members will review, edit and approve their draft Board Appreciation Letters for
Library Retirees.
Board review, discussion, and vote were held.
Board Member Kocur moved, Board Member Ndavu made the second, to approve the
Board Appreciation Letter for Retirees with the following changes:
• "We appreciate the part you played in our mission of improving the lives of the people we
serve every day and upholding our values of integrity, excellence and innovation in the
community."
• Board Members agreed that the letter could be used for any employee or long-term
volunteer.
• Board Members agreed on adding the Library Administrator to the list of signatories.
Chair Koory thanked Board Member Kocur for the idea and draft letter.

6. CHIEF LIBRARIAN UPDATE
a. This report allows the Chief Librarian of the Community Services Department to update the
Board. The Board is prohibited from discussing or acting on any of the items presented by the
Staff since they are not itemized on the Library Advisory Board Agenda.
Chief Librarian Beck updated the Board members on current Heroes Regional Park Library
operations and statistics. Highlights included the following:
• Between May 18th and July 31st, 11,000 people had visited.
• Between May 18th and July 31st, staff answered 6,600 questions from patrons.
• Between May 18th and June 30th, 2,000 people attended programs.
• Between May 18th and July 31st, there were 850 new card registrants.
• Between May 18th and June 30th. 900 people used Computers.
7. BOARD MEMBER COMMENTS AND SUGGESTIONS
Board Member Collett expressed appreciation on the accomplishment of the new library.
Board Member Kocur suggested adding an item to the next meeting regarding the American
Library Association approving a Drag Queen story hour and how that may affect our libraries.
Board Member Aborne commented that she had visited Heroes Regional library and asked for
the Admin Librarian but was told by staff that the individual was no longer with the library. Chief
Librarian Beck replied that he will follow-up at the next meeting.
Board Member Aborne also asked about the vacancies of the mayor appointee and the teen
Board Member. Board Member Aborne requested that the item be discussed at a future Board
meeting.
Board Member Davis voiced his appreciation to be on the Advisory Board and mentioned that he
recently noticed the email option for reminders and asked if it were new. Chief Librarian Beck
replied that it has been available, but it is something that more people have used.
Board Member Ndavu thanked all Board Members for continuing to serve.
Chair Koory commented on how wonderful the opening of the Heroes Regional Park Library had
turned out and commended Chief Librarian Beck and his staff on a job well done.
Chief Librarian Beck thanked Chair Koory and thanked Library Administrator Wasley and all the
staff for all the help that was given during the grand opening.
8. NEXT MEETING
The next meeting of the Library Advisory Board will be held on September 11, 2019 at 6:00 p.m.
in the Library Board Room of the Main Library, located at 5959 W. Brown St., Glendale, Arizona,
85302.
9. ADJOURNMENT
