Library Advisory Board Meeting Minutes

Wednesday, January 13, 2016
6:00 p.m.
Call to Order - Approximately 6:00PM
Chairperson Wilson called the meeting to order at approximately
6:00pm. Board members Shelly, Koory, Fallucca, Gibala, Aborne,
Collett, Vice Chairperson Sommer, and Chairperson Wilson were
present.
Michael Beck, Chief Librarian, was present from the City of Glendale.
ii. Approval of Minutes - December 9, 2015 - Chairperson Wilson
asked if there were any revisions or corrections to the minutes of
December 9, 2015.
Chairperson Wilson referred to page 2, Section 5, paragraph 4. She
asked that it read, "She distributed a statement from Amber
Mathewson, President of the Arizona Library Association, which was
included in the presentation".
Board member Shelly made a motion to accept the minutes as
amended. Board member Aborne seconded the motion, which
was approved unanimously.
in. Business From The Floor - Chairperson Wilson called for any
business from the floor. There was none.
Loyalty Oath of Office - Chairperson Wilson called for this item. Mr.
Beck asked Board member Gibala to take the Loyalty Oath of Office.
The Board then welcomed her.
V. Glendale Libraries Transform - Chairperson Wilson announced this
item. She stated she compiled the "Because" statements created by
the Board and distributed them to the Board. She said she and Vice
Chairperson Sommer attended a meeting with The Friends of the
Public Library nonprofit organization to share this with them. She said
they presented the same PowerPoint to them and went through the
same exercise for "Because" statements. Chairperson Wilson said they

had a lot of fun with the exercise and said they will begin to use the
statements on their social media sites and their website.
Vice Chairperson Sommer said The Friends really enjoyed the
presentation and the exercise.
The Board would like the Friends of the Library to head the Libraries
Transform campaign, rather than the Library Board.
Chairperson Wilson added there would soon be four vacancies on the
Board and she encouraged The Friends to recruit or refer anyone who
might be interested in being a Board member.
Chairperson Wilson distributed postcards from the City of Scottsdale
Library displaying "Because" statements. They were circulated around
the room.
She asked for ideas from the Board regarding how to advertise this
campaign.
Board member Shelly suggested that supporters could record their
"Because" statements at the library or take stills and submit them to
the Library for posting on the website.
She asked if this campaign could be taken into the schools.
Board member Aborne asked if Chairperson Wilson had reached out to
other library boards. Chairperson Wilson said she had not.
Board member Aborne asked if Mr. Beck had approached staff with this
campaign. Mr. Beck advised the Board that it had been discussed with
the Library Leadership Team.
Chairperson Wilson asked if the Board could do a press release. Mr.
Beck suggested maybe working through The Friends might be the best
route. Although, he said he would check with the Government
Services Committee to see what was allowed.
Board member Fallucca asked if anyone was willing to visit schools
within the city and ask that they incorporate the campaign information
into their newsletter.

Board member Gibala said she could include information in the
newsletter published at her high school. She may be able to have
information included through her contacts at Sierra Verde Middle
School.
Chairperson Wilson asked Mr. Beck to return before the Board with
recommendations and provide suggestions as to what the Library
Board is allowed to do and not to do.
Chairperson Wilson asked Mr. Beck to include this topic on next
month's agenda.
vi. Western Area Branch Library Update — Chairperson Wilson called
for this item. Mr. Beck reviewed the tentative schedule regarding open
houses, public hearings, and City Council meetings as they relate to
the Western Area Branch Library. He said an architectural group has
been selected. They are the Dick and Fritsche Design Group (DFDG),
who designed the Goodyear Public Library and several City of Phoenix
libraries.
Mr. Beck reviewed the tentative public meeting schedule noted in the
memorandum to the Board. He said the Board is invited to tour the
potential locations at Heroes Regional Park and the building where the
KGLN studios are located.
The Board discussed the public outreach and opportunities the public
would have to provide their comments or concerns.
Board member Koory asked for an update on the bond money. Mr.
Beck said there was no bond money but has forwarded this inquiry to
the Director. Board member Koory stated that voters approved bonds
for the Western Area Library from 1987 ($7 million) - 1999 ($15.4
million).
Chairperson Wilson asked if she received her information from a news
article in The Glendale Star. Board member Koory said yes.
Mr. Beck said he would check on the availability of the KGLN studios so
that the Board could tour the building and would then contact the
Board members for their availability.

The Board directed Mr. Beck to continue with the public participation
plan.
vu. Chief Librarian Update - Chairperson Wilson called for the Chief
Librarian Update. Mr. Beck presented and updated members on
current library activities, operations and projects.
• Library - He said the library would be interviewing for the
Librarian position to be stationed at the Main Library. He said
this position would assist those interested in business and career
resources. Board member Gibala said this would be a wonderful
addition and very helpful to those seeking assistance. He
introduced recently hired Senior Management Assistant,
Stephanie Miller. Mr. Beck added Ms. Karen Reed's job, Library
Manager, has also been posted. He added the Envisionware PC
management system migration has taken place. It seems to be
working very well.
• Glendale University - Mr. Beck spoke of the wonderful
opportunity for board members or anyone interested to attend
the city's Glendale University program. It is a great opportunity
to learn about the functions of every city department.
• Upcoming programs - Mr. Beck announced some of the
upcoming programs notably the 20th Annual Arizona Songwriters
event, which is taking place on January 23, 2016. This is one of
the largest signature library events.
Library Advisory Board Comments and Suggestions - Chairperson
Wilson asked for any comments or suggestions from the Board
members. Board member Collett said she and the Chair met with
Councilmember Malnar recently and heard his comments regarding the
library. Chairperson Wilson said he requested the meeting and asked
to be brought up-to-date regarding the Library Board. They extended
an invitation to him to attend an upcoming Library Board meeting.
Chairperson Wilson said she was very pleased with the upcoming
public meetings regarding the Western Area Branch Library. She
reminded the Board to recruit for upcoming vacancies.
Board member Aborne said advertisement for WeeReaders at Westgate
is not listed on the website calendar. She thanked Mr. Beck for having
WeeReaders listed first in the pamphlet for January and February
events published by the Library. Also, she noted the A Frame sign

advertising WeeReaders is missing at Gallery Glendale. Mr. Beck said
he would purchase a new sign and recreate the poster that was
mounted on the sign previously. Board member Aborne said on
December 21, 2015, when they arrived, the doors were closed and
locked with a padlock. She said there appeared to be a lack of
communication. Mr. Beck apologized and explained there was prior
damage to the door lock. Padlocking was the only way to safeguard
the gallery until repairs were made.
Board member Gibala said she would like to assist in creating a video
for the "Because" statements if the Board decided to do a video. She
added she was happy to be a part of the Board.
Board member Fallucca welcomed Ms. Gibala to the Board.
ix. Adjournment - With no further business, Chairperson Wilson called
for a motion to adjourn.
Board member Sommer made a motion to adjourn. Board
member Koory seconded the motion, which was approved
unanimously. The meeting was adjourned at 7:17pm.
The next regular meeting will be in the Large Meeting Room at the
Main Library on Wednesday, February 10, 2016, at 6:00 PM.
