Library Board Conference Room Main Library 5959 W. Brown St. Glendale, AZ 85302 Members Present: Others Present: Ms. Char Sharp Ms. Cheryl Kennedy, Chief Librarian Ms. Bernadette Bolognini Ms. Mary Hill, Secretary, PR&LS Ms. Misty Drake Mr. Erik Strunk, Executive Director, PR&LS Ms. Holly Fallucca Ms. Susan Shelly Ms. Karen Aborne Mr. John Fernandes CALL TO ORDER Ms. Char Sharp, Library Advisory Board Chairman, called the meeting to order at 7:00 p.m. APPROVAL OF MINUTES— May 17, 2012 • Ms. Sharp requested a motion to approve the minutes from the meeting held on May 17, 2012. Ms. Aborne requested a revision to the minutes on page 4, with regard to the wonderful presentations that we have by staff deserve to be shared by more people. A motion to approve the minutes as amended was made by Ms. Shelly. The motion seconded by Ms. Fallucca passed unanimously. Ms. Kennedy advised that we have another teen that will be joining our Board and will be sworn in on Tuesday, September 25, 2012. We still need a replacement for Ken Wixon. Ms. Aborne is trying to help fill this slot. CERTIFICATE AND LOYALTY OATHS Our Chair, Ms. Sharp was presented with a certificate of recognition for serving as the Vice Chair on the Library Advisory Board. Loyalty Oaths for Ms. Sharp and Ms. Aborne were distributed, signed and returned. 1 BUSINESS FROM THE FLOOR There weren't any visitors to our meeting, other than Mr. Strunk, who planned to do a presentation later in the meeting. INTRODUCTIONS Ms. Kennedy asked if everyone could say a little something about themselves. Ms Sharp agreed and asked that we begin with Ms. Drake. • Misty Drake is a stay at home mom; home schools her children and has a home schooling program and tutors at the Velma Teague Library. She has four young children. • John Fernandes is a 17 year old senior at Phoenix Country Day School. He would like to major in Government or Political Science. He volunteered for the Library Advisory Board for the great experience. He is located in the Yucca Council District. • Char Sharp has been on the Library Advisory Board since 2010. September 2013 will be her final month with us. She will also be joining the Maricopa County Library Commissioner's when she has finished her service with our Board. She has been a Glendale resident for 40 years, and is an Arizona native. Her son was a member of Mayor Scruggs first group of the Mayor's Advisory Youth Commission. Char has been involved at the City for a long time. • Holly Fallucca has lived in Glendale about 7 years. This is the first Board that she is serving on in Glendale. She is mother to a 2 year and 18 year old. She teaches refugees English as a second language with her church, and volunteers with Hospice of Arizona. • Susan Shelly moved to Glendale about 6 years ago. She lives in the Barrell District in Glendale and is a librarian at John C. Lincoln Hospital. • Bernadette Bolognini is retired from American Express, but works part-time for Edward Jones. She has lived in Glendale for 22 years. This is her second year on the Library Advisory Board. Bernadette also has 4 children. • Karen Aborne has lived in Glendale for 41 years. She lives in one of the oldest neighborhoods in Glendale. The neighborhood turned 101 years old in August. She has two children and two grandchildren. She owns a sewing business and is also the Vice Chairman of the Library Advisory Board. • Cheryl Kennedy is the Chief Librarian. She has been working for Glendale since 1999 and started as a supervisor over Adult Services. She then became a Library Manager of Library Services. As people retired she ended up with responsibilities for Library IT, Collection Development, Technical and Circulation Services, Horizon ILS and the Library Volunteers. Before that she was a Library Director in Page, Arizona. 2 • Mary Hill works for the City of Glendale Parks and Recreation. She has four children, three grandchildren and a very happy life. • Erik Strunk is the Executive Director of Parks and Recreation and Library Services. He has lived in Glendale a little over 23 years. He started as an intern for a 12 month contract, but has worked for the City of Glendale ever since. He has a great family and home in Glendale. TECHNICAL AND CIRCULATION SERVICES TOUR After introductions were made, the Library Advisory Board went on a tour of the Main Glendale Library. The tour was very informative and gave committee members a better understanding of a "behind the scenes" scenario of the day to day operations of the Main Glendale Library. POLARIS AND RFID UPDATE Maricopa County purchased the Polaris Integrated Library System for $350,000 as a result of our reciprocal borrowing agreement. The (PAC) Public Access Catalog tagging is now 2/3`d's complete at the Main Library, 1/2 complete at the Foothills Branch and 100% complete at Velma Teague Library. LIBRARY DIRECTOR UPDATE • Stephanie Rumsey, from the Velma Teague Library has been selected as Employee of the Quarter. Stephanie was recognized for her outstanding contributions to the Library and the patrons. • Following is a list of revenue generated from meeting room rentals since the program began July 1, 2012: Main Library-$1,357 and Foothills Branch Library- $1,054. • BTOP II Grant: Steve Schrade, former Director of Human Resources for Bashas' was hired with grant money and is currently teaching classes at the Main, Foothills and Velma Libraries. He will start teaching classes at the Glendale Community Center on 9-26-12 and is already working at the Glendale Adult Center. • The 2012 Summer Reading Program had a 25% completion rate, with the following comparison in number of patrons attending the 2011 and 2012 reading programs: 2012 2011 Teen Sign-Ups Main Library 3,852 3,631 255 Foothills Library 2,518 2,204 213 Velma Teague Library 853 665 67 3 Almost 7,800 children and teens participated in the 2012 Summer Reading Program. • E-Reader Pilot Program was launched on 7-1-12. All Nooks are out and in-use. This very popular program is going well. • Erik Strunk, the Executive Director of Parks, Recreation and Library Services wanted to make the Board aware of the City's Budget concerns and the sales tax initiative on the November 6, 2012 ballot. He asked that Board members follow the process more closely, so they are better informed and able to share and pass facts on to others when requested. There will be a special City Council Meeting on Tuesday, September 25th where a 21% budget reduction will be presented to Council for each City department. More information will be distributed at the October Board Meeting as well as a presentation from a member of the City Budget Office. LIBRARY ADVISORY BOARD COMMENTS AND SUGGESTIONS: • Ms. Fallucca asked about the Friends of the Library and what they can do to help our libraries, if future budget cuts are made. Ms. Kennedy stated that the Friends of the Library donated $4,000 for programming. The Friends are developing a website to promote new membership fees and more interest in supporting libraries. Ms. Fallucca asked if fund raising dollars would go to the General Fund. Ms. Kennedy stated that fund raising dollars have to specify "Donations" and they will be placed in a separate account. • Ms. Aborne reported that she met with Phyllis Forister over the summer. She ran for, but wasn't appointed to City Council. Ms. Forister's main objective was to make the public aware of the need for the Cedar River Library, which ultimately wasn't closed, due largely to her involvement in the process to save the library. • Ms. Aborne also visited the Teton County Library over the summer too. She said their website will provide information on the Foundation, Endowments and Fundraisers. • Ms. Sharp suggested a change to our meeting time start time from 7 to 6:00 pm. After discussion among the board members it was suggested that the Library Advisory Board begin meeting on the second Wednesday of the month. Ms. Kennedy will forward the suggestion to the Council Office as the Government Services Committee would need to approve this recommendation before a formal change can take place. • Ms. Aborne asked that we all promote our October Agenda and invite citizens to attend our meeting. ADJOURNMENT: 4 The next Library Advisory Board Meeting will be Thursday, October 18, 2012 at the Velma Teague Library in the Story Time Room. Ms. Bolognini made a motion to adjourn our meeting at 8:43 pm. The motion seconded by Ms. Aborne, was passed unanimously. 5
