Library Board Conference Room Main Library 5959 W. Brown St. Glendale, AZ 85302 Members Present: Others Present: Ms. Charlene"Char" Sharp, Vice Chair Ms. Cheryl Kennedy, Interim Library&Arts Director Ms. Hailey Larson Ms. Cynthia Burmeister, Secretary, Main Ms. Karen Aborne Dr. Ann Dutton Ewbank, Professor/Director, ASU Ms. Sandra Burr Ms. Marlowe Garay(Meyers) Mr. Ken Wixon Members Absent: Excused: Ms. Camille Donley, Chair Unexcused: Ms. Stephanie Aubourg Ms. Bernadette Bolognini CALL TO ORDER Ms. Sharp, Vice Chairperson, called the meeting to order at 7:00 p.m. APPROVAL OF MINUTES Ms. Aborne requested a small change to the minutes reflecting her representation of the Yucca district and that she obtained a principal certification. Ms. Sharp requested a motion to approve the September 15, 2011 minutes with revisions. A motion to approve was made by Ms. Burr. The motion, seconded by Mr. Wixon passed unanimously. COMMUNITY CONNECTIONS Ms. Kennedy introduced Dr. Ann Dutton Ewbank. Dr. Ewbank serves as the Clinical Associate Professor and the Assistant Division Director for Graduate Programs in the Mary Lou Fulton Teachers College at Arizona State University. She has written articles in Knowledge Quest, Teacher-Librarian, School Library Media Activities Monthly, and Library Media Connection. Dr. Ewbank gave an interactive workshop to the GPL Advisory Board providing tools, resources and talking points to learn what users and others have to say about the library, and to inform decision-makers about the library's value and needs. Dr. Ewbank provided an interactive presentation on advocacy. Topics of discussion included a definition and examples of advocacy and how, as library board members and citizens, advocacy can be promoted. It also touched on the importance of both internal and external partnerships. Dr. Ewbank discussed the different levels of advocacy, including how government and policy decision making impact the library. Discussion on State funding concerns along with resources available to keep informed on issues that might affect the library was also provided. Ideas and suggestions by Library Advisory Board members and Dr. Ewbank included the following: • A definite scope of how the Library Advisory Board plays into advocacy including involvement in a citizen capacity. • Partnerships with the business community and schools including more publicity of library events. Provide meeting space for community classes. Partnering with high schools regarding reading materials and book clubs. • Advisory Board members initiating a letter writing campaign and be involved in promotional ideas. • Partnerships between library staff and parents regarding early literacy. • Providing feedback to library staff on new events and programs in the planning phase. • Advisory Board member should attend council meetings and also meet and update council members or write letters on library related topics with proposals. Having council members shadow library employees during operating hours. Having photo opportunities with council members for marketing purposes. • Educate schools on volunteer opportunities, offer credit hours for library work, publicize community service opportunities, publicize volunteer opportunities and provide service learning opportunities. • Statistical information provided to Library Advisory board members on employee turnover and library usage. • Advisory board members and library staff to join sites like azla.org and other state and federal level groups. LIBRARY DIRECTOR UPDATE • Ms. Kennedy gave an update to the Strategic Plan, including the addition of Service Response 6. Ms. Sharp suggested ways to promote an express library. Ms. Sharp requested a motion to approve the Strategic Plan. A motion to approve was made by Mr. Wixon. The motion, seconded by Ms. Garay- Meyers passed unanimously. • There will be an AZLA conference this November, 2011. Velma Teague Branch Manager Lesa Holstein has won the Outstanding Library Services Award. Ms. Holstein is nationally recognized for her book reviews and her role with bringing authors to the Velma Teague Library. • The American Reinvestment and Recovery Act provided funds to obtain laptop computers last year. Patrons can check out the laptops for internal library use at four hour intervals. • The employee of the 4th Quarter goes to Kristin Fletcher-Spear, Librarian at the Foothills Branch Library. ADJOURNMENT Ms. Sharp requested a motion to adjourn the meeting. Ms. Aborne moved that the meeting be adjourned. The motion, seconded by Mr. Wixon, passed unanimously.
